PLN Indonesia Power, a subsidiary of PT PLN (Persero), is the largest power generation company in Southeast Asia, boasting a total capacity of 21.08 GW. Established on October 3, 1995, the company plays a pivotal role in Indonesia’s energy sector, ensuring reliable power generation. To maintain its operational excellence and enhance knowledge management, PLN Indonesia Power seeks to modernize its policy document management application to better handle critical documents, including both public and confidential policies.

The company’s current document management system, housed within the Knowledge Center application built on SharePoint, lacks advanced features and modern technology to meet evolving organizational needs. This limitation hinders efficient storage, retrieval, and management of critical policy documents. Without a more robust solution, PLN Indonesia Power risks inefficiencies in document handling and challenges in scaling the system to meet future demands, which could ultimately impact operational effectiveness.

The primary goal of this project is to develop a new "Policy" module to be integrated into PLN Indonesia Power’s existing application. This module will leverage advanced technologies to ensure secure, efficient, and user-friendly management of policy documents. By enhancing the system’s functionality, the project aims to improve document accessibility, strengthen data security, and support the company’s commitment to operational excellence and innovation.

Suitmedia’s approach focuses on creating a policy document management application website that addresses PLN Indonesia Power’s needs for an advanced and user-friendly system. The strategy includes designing an intuitive UI/UX for the Policy module to ensure accessibility and ease of use. The integration of elastic search without paid plugins enhances cost efficiency while providing a high-performance search experience. The development of the Policy module within the Knowledge Center has significantly improved the management of policy documents. The new system enables seamless uploading, reviewing, viewing, and downloading of policy documents, while also allowing users to manage glossaries, categories, and taxonomies efficiently. This enhanced functionality has resulted in increased work productivity and streamlined document handling. This indicates a notable improvement in user engagement and operational efficiency compared to the previous system.
